工作內容:處理辦公室事務,報銷、走賬、翻譯等
要求:1. 本科及以上學歷;
2. 英語專業優先;行政管理相關專業(須具備良好的英文口語和寫作能力)

Handling of MATRADE Promotion (Core duties)
· To answer all trade enquiries received through letter, fax, email, telephone or in-person from Malaysia or areas under coverage;
· Submission of draft replies of enquiries to Director
Administration
· To fax, stamp ‘FAXED’ and record all outgoing letters
· To record, stamp ‘RECEIVED’ and photocopy of all incoming faxes
· To ensure that all incoming mails are recorded and distributed accordingly
· To manage visitors book to office
· Maintain & update the staff files
· Maintain Staff Leave Record Register
· Maintain records of office stationeries, assets and inventories
· Maintain record of office mailing and postage stamp record
· Create and maintain filing system
· Taking care of office equipment
· Maintain & update files and perform filing tasks
· Filing all incoming and outgoing mails, faxes, memos, etc. minutes by Director / Marketing Office in the respective files and kept in proper cabinets
· Handle other related admin work
· To maintain and update list of importers and Malaysian suppliers;
· To handle visitors requiring general information about Malaysia
· To receive all incoming telephone calls;
· To do newspaper cutting as directed by Director;
· To type documents when required.
· To assist in trade promotion works when required
· Management of the front office and meeting room, including tea/coffee preparation for visitors to the office
Accounts
· To prepare payment vouchers upon receipt of invoices
· To record payments in Cash Flow Book and Vote Book
· To prepare payment vouchers and acknowledgement slip for HBS and LRS
· To ensure distribution / dispatch of payment cheques on completion of payment process, and the finalization of all vouchers
· To check and ensure all financial claims for taxi fare, petrol, medical, entertainment, overtime, etc., by HBS and LRS are given correct coding numbers, and deducyed in vote book accordingly.
· To prepare monthly statement at the end of the month.
· To ensure receipt of bank statement by the first week of each month.
· To compile and courier to HQ of the followings by the first week of each month:
· Submission of GST quarterly to Consulate.
- Payments and Receipt Vouchers – original receipts, copy of cash deposit slip and receipt vouchers.
- Invoices – Inwards Invoice statements from bank and issuance of receipt vouchers of remittance from HQ.
- Inward Invoice statements from bank and issuance of receipt vouchers for internal bank transfer.
- Copy of car log book of previous month (driver to fill).
- Record of outgoing fax and telephone calls of the previous month.
- Copy of vote book.
· To perform duties as directed by the director/Marketing Officer from time to time.
The candidate should have:
· A minimum degree holder in Business Administration / Management / Accounting / English
· Good command in English (spoken and written)
· Have at least 1 -2 years of working experience
· Knowledge of accounting is an added advantage
· Familiarity with common business software such as MS Excel, PowerPoint, Word, and Chinese and English word processing is required.
